Clinic/Practice Operations Manager

Salary: Award based salary under Health Professionals and Support Services Award [MA000027] ‘Support Services Employee’ Level 9 and above award Mind Room rate ($75-$85,000 annual, plus super) based on experience with additional support for professional development.

The Role
This role is ideal for an experienced allied health or general practice manager (or assistant manager) with a strong facility, front-of-house, and intake team leadership background. You will oversee the day-to-day management of a busy psychology clinic with 17 consulting rooms, 45+ clinicians, and a team of 4 full-time and 4-6 casual employees.
As Clinic Operations Manager, you will work closely with the Head of Operations and clinical department heads to ensure smooth, efficient, and client-focused operations. To support high-quality service delivery, you will be responsible for facility management, team leadership, rostering, compliance, and process optimisation.
Key Responsibilities
- Clinic & Facility Management: Oversee the operations of our 17-room clinic, ensuring a professional, efficient, and welcoming environment for clients and clinicians.
- Front-of-House & Intake Team Leadership: Supervise and support a team handling client bookings, inquiries, and practitioner coordination.
- Workforce & Rostering: Manage schedules and staffing to ensure optimal clinic coverage and smooth day-to-day operations.
- Compliance & Risk Management: Ensure adherence to health regulations, privacy standards, and professional practice guidelines.
- Process Improvement & System Optimisation: Identify opportunities for efficiency improvements in practice management software and operational workflows.
- Collaboration with Leadership Team: Work closely with department heads to align operations with strategic goals.
About You
We are seeking a highly organised, hands-on operations leader with a strong background in healthcare facilities and team management. Your knowledge and strategic vision will help shape our operations while making a tangible difference in the lives of our clients and staff. The ideal candidate will have:
- 3+ years of experience as a Practice Manager or Assistant Manager in an allied health or general healthcare setting.
- Proven ability to manage clinic facilities, front-of-house, and administrative teams.
- Strong knowledge of practice management software, rostering, and workflow optimisation.
- Understanding of healthcare compliance, privacy regulations, and professional standards.
- Excellent leadership and communication skills, with experience mentoring and managing teams.
- A proactive, problem-solving mindset with a focus on efficiency and service excellence.
